Getting started

Create your account, set up your business and find your way around.

Create your account

Open Zephyria and pick the kind of account you want:

  • Business: you run a barbershop, salon, spa, practice or any business that lives on appointments. You publish services, keep calendars, invite your team and get Zephyr's help.
  • Customer: you just want to book and message businesses.

Sign up with your email (we send a 6-digit code to confirm it) or with “Continue with Google”. If you ever booked as a guest with that email, your history stays with you.

The first-time setup

The first time you sign in, Zephyria asks a few questions, one per screen:

  1. 1What your business is called and what kind it is (barbershop, nails, hair salon, spa or other). The type lets us suggest services and products.
  2. 2Where you are: search your address or drag the pin on the map.
  3. 3When you're open: the days and hours clients can book.
  4. 4What you offer: tap the suggestions or add your services with price and duration.
  5. 5What you keep in stock: pick your products and how many you have (optional).
  6. 6Done: see what's set up and, if you like, start the free Pro trial.

Every step but the first can be skipped and finished later.

“First steps” on your dashboard

What we didn't ask up front waits on your dashboard in the First steps card: add your address, link Instagram or Facebook, invite your team, copy your booking link and say hi to Zephyr. Each item ticks itself off when you do it, and the card disappears when you're done (or when you hide it).

Finding your way around

  • Dashboard: your day at a glance, with Zephyr one tap away.
  • Analytics: appointments, money and customers, month by month.
  • Zephyr: the full conversation with your assistant.
  • Calendar: your appointments and your team's.
  • Conversations: your customers' messages.
  • Services, Inventory and Lists: what you offer, what you have and anything else you want to track.
  • Team: who works with you and their invites (owners and admins).

From your name at the bottom of the sidebar you switch businesses, open Settings, this guide, light or dark mode, and sign out.

Your booking page

A link of your own where clients book without an account.

How clients book

  1. 1They pick the service and see its price, duration and description.
  2. 2They pick who. Only people who offer that service show up, with their own price if it differs.
  3. 3They pick a day and time from that person's free slots, in their own timezone, and can leave a note.
  4. 4They enter their name, email and phone.
  5. 5They confirm with a code sent to their email.

The appointment lands instantly on that person's calendar. The confirmation shows your address, map, socials and a button to message you.

What clients see

Your business name, address with map, social links, active services and team. They never see your inventory, lists or internal notes.

Services

What clients book, and what Zephyr talks about.

Price and duration per person

Pick someone on your team in Services to adjust their services: they can charge differently, take longer, have their own description or not offer a service. “Reset” goes back to the catalog.

You can also create personal services only that person offers.

With Zephyr

Tell Zephyr

  • Add an eyebrow shaping service, 20 minutes, $150
  • Raise the haircut to $250

Before changing a price or hiding a service, Zephyr asks you to confirm.

Calendar and hours

When you can be booked and what's on your schedule.

Your bookable hours

In Settings → Availability you choose your days, hours, timezone and how often appointments start (every 15, 30 or 60 minutes). Your booking page and both assistants use these hours. Each person on the team has their own.

Each day can have its own hours. For a break, like lunch, add a second range that day: the gap between them can't be booked. Under Days off you mark vacations or holidays; nobody can book on those days and Zephyr tells your customers you're closed.

Appointments and events

The calendar has month, week and day views. Tap a day or “New” to add an appointment: title, time and, optionally, the service (it fills in the duration). Tap an appointment to edit or delete it.

Two appointments can't overlap on the same calendar. Cancelling an appointment that came from a booking cancels the booking too.

Owners and admins can see and edit anyone's calendar.

With Zephyr

Tell Zephyr

  • What do I have tomorrow?
  • Book Karen on Friday at 5 for a haircut
  • Move Ana's appointment to 6
  • I'm closed Monday the 16th in the afternoon

If your team has several people and it's unclear who it's for, Zephyr asks.

Your team

Invite the people you work with and decide what each can do.

Roles

  • Owner: everything, including the plan and payments.
  • Admin: everything but payments. Edits the business, team, services, inventory, lists and customer assistant.
  • Member: their own calendar, hours and services. Sees the inventory and logs what they use or sell; sees lists without editing them.

Invite someone

  1. 1Go to Team → Invite.
  2. 2Enter their email and choose member or admin.
  3. 3They get an email with the link. If they can't find it (it sometimes lands in spam), copy the link from the pending invite and send it yourself.

Invites last 7 days and can be revoked. Having a team needs the Pro plan or the free trial.

Remove someone

From Team. They lose access right away; their past appointments and conversations stay, and you can invite them again anytime.

More than one business

Have more than one business or location? From your name in the sidebar, create another and switch between them. Each has its own team, services, inventory and plan.

Customer conversations

Customers write to you and the assistant answers for you, with your real data.

How customers reach you

From your booking page (“Chat with…”) or from Messages in their account. Everything lands in Conversations, one thread per customer.

The customer assistant

It answers on behalf of your business with your real catalog, team and calendars: prices, duration, what's included, who's free. If the customer wants an appointment, it checks the calendar and books it. It never makes up prices or times and never talks about your inventory or lists.

Set it up in Settings → Customer assistant:

  • Turn it on or off.
  • Language (the customer's, Spanish or English) and tone.
  • What it should know: policies, parking, payment methods, cancellations.
  • Reply limit per conversation, so a person steps in on long threads.

Take over

Open any conversation and reply yourself. Leave the assistant working or turn it off from Conversations.

If the assistant reaches its monthly or per-conversation limit, the customer gets a note that you'll reply soon with your booking page, and their messages wait for you in Conversations. We let you know at 80% and 100% of the month.

With Zephyr

Tell Zephyr

  • Who wrote to me today?
  • Summarize the conversation with Marco
  • Tell Marco we have a spot at 4

Zephyr never sends a message to a customer until you approve the text.

Zephyr, your assistant

Your private assistant: it books, remembers, looks things up and keeps your inventory. Customers never see it.

What it can do

  • Plan your day and tell you what's on.
  • Book, move and cancel appointments; block time off.
  • Create reminders and remember what matters.
  • Create and edit services.
  • Keep your inventory and search or fill your lists.
  • Summarize and answer customer conversations (with your approval).
  • Give you numbers: how many appointments, your busiest day, your most booked service.

Write to it from the Dashboard or from Zephyr in the sidebar, the way you'd write to a person.

Commands and mentions

  • Type / for quick actions: book an appointment, create a reminder, check availability, search lists, remember something.
  • Type @ to point Zephyr at a list or service, so it knows exactly what you mean.

Cards and confirmations

Whatever Zephyr looks up or changes (appointments, services, products, rows, memories) shows up as a card under its reply; tap it to go straight there.

For sensitive changes (prices, hiding a service, replying to a customer, closing the whole team) it asks first. Nothing changes until you say yes.

The Today panel

Next to your conversation with Zephyr you see today's agenda, who's waiting on a reply, what's running low and your lists. The sparkle next to each item drafts a question for Zephyr.

Make it yours

In Settings → Zephyr choose how long its replies are and tell it your role, your priorities and how you work (“no appointments before 10”). In Settings → Profile choose what it calls you.

Inventory

Your products and supplies with the count always up to date. Only your team sees it.

What it is

Everything you use on clients (blades, color, acetone) and everything you sell (waxes, oils, shampoo), each with its quantity, unit, alert, cost and sale price. For things you don't count in units (suppliers, expenses, checklists), use Lists.

Add products

The first time you open Inventory we suggest the usual products for your kind of business: tap what you have and how many. Or use “New product”:

  • Name, category (e.g. “Supplies” or “Retail”) and unit (pcs, ml, bottles).
  • How many you have now.
  • Warn me at: the quantity that triggers the alert.
  • Cost and sale price (empty if you don't sell it).

Log what happens

Tap a product and choose what happened:

  • Arrived: new stock came in.
  • Used: it went into a service.
  • Sold: a client took it home.
  • Count: you counted and the real total is different (owners and admins).

Before saving you see how many you'll have left. For quick changes, use − and + on each product in the list. Stock never goes below zero: if it doesn't add up, do a count.

With Zephyr

The quickest way, between clients:

Tell Zephyr

  • 10 waxes arrived
  • Used 2 blades
  • Sold a beard oil
  • What's running low?
  • Who used the color this week?

Singular or plural doesn't matter. If two products look alike, Zephyr asks which one; if it doesn't exist, it offers to add it.

“Running low” alerts

When a product reaches its alert it turns amber (and red when it runs out). You see it in the “Running low” tile (tap it to filter), on your dashboard and in the Today panel. Zephyr mentions it too.

History

Every product keeps who changed what and when, including changes made through Zephyr. Recent activity across the inventory sits next to the list.

Lists

Tables shaped your way for everything else: suppliers, expenses, checklists.

Create a list

In Lists → New list pick a template (Suppliers, Expenses, Opening & closing checklist, Client formulas, Equipment upkeep) or start blank. Templates come with their columns.

Columns can be text, number, currency, date, yes/no, dropdown, email or link. Rename, reorder and archive them; old values are kept.

Already keep it in Excel? In New list → Import a file, upload your .xlsx or .csv. The first row names the columns, each column's type is picked from its values and every other row becomes an entry. You see how it will look before it's created.

See alsoWhat it is

Use them

Add and edit rows, search every column at once and filter by options. The history shows every change and who made it.

Owners and admins edit; the rest of the team can look.

Tell Zephyr

  • What does Suppliers say about wax?
  • Add to Expenses: rent, $8,000, today, paid

Analytics

How your business is doing, month by month.

Your numbers

  • Appointments this month and how many were booked.
  • Earned: from completed appointments, at the price they had when booked.
  • If everything goes well: earned plus what's still to come this month.
  • Attendance: what share showed up and how many didn't.
  • New customers and returning ones.

Owners and admins see the whole team or filter by person; each member sees their own. Change month with the arrows.

How did it go?

When an appointment ends, mark it completed or “no-show”. Ones you don't mark count as completed 12 hours later.

The Appointments and Customers tabs show the month in detail and each customer with their history at your business.

Your customers' side

What your customers experience, so you know what to tell them.

Booking, rescheduling and messaging

  • They book from your link without an account and confirm with a code sent to their email.
  • If they create a customer account (with the same email, their history stays), in “My appointments” they book at any business, reschedule or cancel.
  • In Messages they write to you and get an instant answer from the assistant or your team.
  • Their home shows their next appointment, how to get there and recent conversations.

Plans and payments

One price per business. Pro includes 5 people; each extra person adds on.

The plans

  • Free: 1 person, up to 5 services, 100 appointments a month, booking page, 50 assistant replies to customers and 150 Zephyr messages a month. Inventory and lists included.
  • Solo — $11 USD a month ($199 MXN in Mexico): 1 person, unlimited services and appointments, 2,000 customer replies and 1,000 Zephyr messages a month.
  • Pro — $27 USD a month ($499 MXN in Mexico): up to 5 people, plus $5 USD ($99 MXN) a month per extra person. Everything in Solo, 6,000 customer replies and 3,000 Zephyr messages a month (+500 and +1,000 per extra person), plus team-wide analytics.

Pay yearly and get 2 months free.

The free trial

Once per business, 14 days of Pro with no card. Start it at the end of the first-time setup or in Settings → Plan. When it ends you go back to Free unless you choose a plan; if you subscribe mid-trial, you aren't charged until it ends.

Subscribe and change plans

  1. 1Go to Settings → Plan (only the owner can pay).
  2. 2Choose monthly or yearly, and Solo or Pro.
  3. 3Pay by card on Stripe's secure page.

Change plans anytime from the same place: going up, you pay the prorated difference; going down, the balance goes to your next invoice. Solo is for one person, so remove your team first if you want to move to Solo.

“Manage billing” takes you to your invoices, payment method and cancellation. If a payment fails, your plan stays active while the charge is retried.

Your account and settings

Everything you adjust in Settings.

The sections

  • Profile: your name, what Zephyr calls you, language and appearance (light or dark).
  • Zephyr: reply length and what it should know about you.
  • Opening hours: your days, hours, timezone and appointment interval.
  • Account: your email and password. If you sign in with Google, you can create a password here.
  • Business: name, link, address, map and socials (owners and admins).
  • Reminders: the email confirmations and reminders your customers get (owners and admins).
  • Customer assistant: how it answers your customers (owners and admins).
  • Plan: your plan, usage and payments (owners and admins).

Forgot your password? On the sign-in screen tap “Forgot password?” and we'll email you a link that lasts one hour.

Confirmations and reminders

Your customers get everything by email, with nothing for you to set up.

Confirmation when they book

As soon as a customer books (on your booking page, through Zephyr, or when you book them with their email), they get an email with the details and a link to confirm, change or cancel.

Reminder before the appointment

Before each appointment your customer gets an email reminder: 2, 4 or 24 hours ahead, you choose. Never at night: anything that would land between 9 PM and 8 AM goes out at a reasonable hour.

Turn them on or off, and choose when, in Settings → Reminders.
